We're committed to protecting your information. Here's how we handle your data and why transparency matters to us.
Look, we get it - nobody really wants to read through pages of legal jargon. But your privacy actually matters to us at Halrion Storm Architecture. We've been designing spaces that respect people's needs since day one, and that philosophy extends to how we handle your personal info.
This policy lays out what data we collect when you interact with us, whether that's through our website, over email, or when you're working with us on a project. We're based in Toronto, Ontario, and we comply with Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act).
If something here doesn't make sense or you've got questions, seriously just reach out. We'd rather have a real conversation than leave you confused.
Here's the deal - we only collect what we actually need. Nothing more, nothing less.
When you fill out a contact form, send us an email, or become a client, you might share:
Like most websites these days, ours picks up some technical data:
When we're working together on a project, we'll naturally collect additional information like architectural drawings, site photos, legal documents related to the property, meeting notes and correspondence, and any other materials needed to complete your project properly.
We're not in the business of hoarding data for no reason. Everything we collect serves a purpose:
We're pretty protective of your information, but there are times when we need to share it with others to get your project done right.
Architecture isn't a solo sport. We might share relevant info with structural engineers, contractors and builders, municipal planning departments, environmental consultants, interior designers, and other specialists your project requires. Everyone we work with is bound by their own professional confidentiality standards.
We use trusted third-party services to run our business, like cloud storage for project files, email and communication platforms, accounting and invoicing software, website hosting providers, and project management tools. These folks only get access to what they need to provide their service, and they're contractually obligated to keep things secure.
Sometimes the law requires us to disclose information - like if there's a court order, subpoena, or regulatory investigation. We'll only share what's legally required and we'll try to notify you when possible (unless we're prohibited from doing so).
If we ever sell the firm or merge with another practice (not planning on it, but you never know), your information would be transferred as part of that transaction. You'd be notified if this happens.
Yeah, we use cookies - and not the delicious kind you dunk in coffee. These are small text files that help the website function properly.
We don't use advertising cookies or sell your browsing data to third parties. You can disable cookies in your browser settings, though some parts of the site might not work as smoothly.
Security isn't just an IT thing for us - it's about respecting the trust you've placed in us with your project and personal details.
That said, no security system is 100% bulletproof. We do our absolute best, but we can't guarantee complete security. If we ever experience a data breach that affects your information, we'll notify you promptly as required by law.
Your data, your rules. Here's what you can do:
You've got the right to know what personal information we have about you. Just ask and we'll provide a copy in a commonly used format. Usually takes us about 30 days to pull everything together.
If something we have on file is wrong or outdated, let us know and we'll fix it. Accurate info is important for us to do our job properly anyway.
Want us to delete your data? We can do that, with some exceptions - like if we're legally required to keep certain records for a specific period, or if we need them for ongoing project work or potential legal disputes. But generally, if you're not working with us anymore and there's no legal reason to keep your info, we're happy to delete it.
If you're getting emails from us and don't want to anymore, there's an unsubscribe link in every message. Or just shoot us an email telling us to stop. We won't take it personally.
If we're processing your data based on consent (rather than contract necessity or legal obligation), you can withdraw that consent anytime. Keep in mind this might affect our ability to provide certain services.
We don't keep stuff forever just for the heck of it. Here's our general approach:
If you reach out for info but don't end up working with us, we'll typically keep your contact details for about 2 years. After that, if we haven't heard from you, we'll delete it.
For completed projects, we keep comprehensive records for 7 years minimum. This is partly professional best practice and partly legal requirement - architects need to maintain project documentation in case questions come up down the road. Some critical project files might be kept longer for archival purposes.
Tax and accounting records are kept for 7 years as required by Canadian law.
Aggregated, anonymized website usage data is kept for about 26 months, then it's deleted.
Our website might link to other sites - like suppliers, industry associations, or project examples. Once you click through to another site, this privacy policy no longer applies. Those sites have their own policies, which you should check out.
We try to only link to reputable organizations, but we can't control or be responsible for their privacy practices. Use your best judgment when sharing personal info on external sites.
Privacy laws evolve, our practices might change, and we'll update this policy accordingly. We'll always post the latest version here with the update date at the top.
If we make significant changes that affect how we handle your data, we'll notify you via email or through a prominent notice on our website. For minor tweaks and clarifications, checking this page periodically is a good idea.
Continuing to use our services after changes are posted means you're cool with the updated policy.
Seriously, if anything in here is unclear or you've got privacy concerns, don't hesitate to reach out. We'd rather have a conversation than leave you wondering.
